Information for 2019 Sponsors and Educational Partners

Thank you for giving your time, energy, product, and in many cases, cash support, to help make this another successful Climbers’ Festival! We are looking forward to our time with you all in July. This page is to help clarify the schedule and expectations for your role during the festival.

Registration for Brand Reps:

All brands/sponsoring organizations need to provide us with the names of their representatives so these names are present on our comped ticket list at registration. Please do this by June 15th.

Upon arrival in Lander, every rep needs to start by going to the ICF registration table inside of Wild Iris Mountain Sports in Lander. Registration is from 9 am to 6 pm on Wednesday, July 10th and Thursday, July 11th, and from 9 am to 3 pm on Friday, July 12th. Late registration after that point will occur at the WyoClimbers booth in City Park for the remainder of Friday (during the Trade Fair).


If you are a brand offering demos, make sure you have clarified this with Lauren, the festival director, by June 10th. We’d like to know what you’ll be demo-ing as well, so we can advertise on social media and in the festival program. Please also provide a phone number for your main demo rep in case we need to get ahold of you!

Demo Tent Setup:

Wednesday, July 10th from 1-5 pm in City Park. This is when ICF staff/volunteer will be available in the park to help guide you to your location. If you cannot set up during this time, please let Lauren know so she can provide you with a map so you set up in the right place!

DAILY Demos:

Thursday, July 11th through Sunday, July 14th in City Park. Gear checkout from 7-9 am and check-in from 4-6 pm Thursday and Friday. On Saturday, gear checkout is 6:30-8:30 am and check-in 3-5 pm. On Sunday, gear checkout is 7-9 am, and all demo booths should be open from noon to 4 pm for final gear check-in. If you are unable to offer full-day demos on Sunday due to your travel schedule, please let us know. There are free breakfasts and coffee each morning in City Park from 7-9 am, with the exception of Saturday morning when breakfast is up at the Wild Iris crag parking lot. Please let all participants file through the breakfast lines first, then help yourselves!

FYI, the clinics will be meeting in City Park at 8 am each morning to get organized, then departing on shuttles or by carpooling at 8:30 am. They finish at 3 pm and will generally start getting back to the park around 3:30 pm. This is shifted an hour earlier on Saturday due to the Limestone Rodeo and Keynote Event.

NOTE: At registration, participants wishing to demo gear are given a numbered wrist band, and the number is recorded next to their name. We have their credit card info and can use that as collateral against lost demo gear. You may still wish to collect additional collateral upon gear checkout. There will be a manned WyoClimbers booth in City Park each day, but we will not be accepting demo returns due to differences in brand collateral practices. Please have someone in your booth each afternoon to collect demo gear!

Trade Fair

Setup is from 10 am to 2 pm on Friday, July 12th in City Park. Demo tents will stay put and be transformed into trade fair tents. If you do not already have a demo tent set up, please check in at the WyoClimbers booth to get a map and get properly directed to your setup area. Only set up your tent in your assigned area! You need to provide your own table, chairs, pop-up, extension cords, power strips, etc. We will do our best to help you with any last-minute needs to the best of our ability.

Trade Fair is from 2-6 pm on Friday, July 12th in City Park. We will have roving MC’s (Brittany Griffith and Kris Hampton, with probable guest appearances from others) who will visit your booth and talk about what’s going on there at least once. If your reps are comfortable getting on the mic, they can share a bit that way too. If you are sponsoring a branded trade fair contest with prizes, the signups will generally be at the WyoClimbers booth until full or just prior to the contest. Specific times are still TBD for these, but we will do our best to have them as close to your booth as possible.

Takedown is after 6 pm - be aware that the Dyno Comp is from 6-8:30 pm in the park, but we plan on having it on the east side of the picnic shelter. There will probably still be significant traffic and food trucks/vendors present until after the Dyno Comp wraps up.
